Brookhall Developers Ltd is the data controller for the personal information described in this policy. If you have any questions about this policy or how we use your information, contact us at info@brookhalldevelopers.co.uk or on 01727 264 264, or write to us at the address above.

What information we collect

When you request a quote or contact us, we collect the information you give us, which may include:

  • your name, phone number and email address
  • the postcode or address of the property
  • details about your project, such as the type of work, budget, timescale and whether you have drawings or planning permission
  • anything else you choose to tell us in your message, or in later phone calls, emails and site visits

If you become a customer, we will also hold information needed to carry out and manage the work, such as the property address, drawings, quotes, contracts, invoices and payment records.

When you visit our website, our hosting provider automatically records basic technical information such as your IP address, browser type and the pages you visit. This is used to keep the website secure and working properly.

How we use your information

  • to respond to your enquiry, arrange a site visit and prepare a quote
  • to plan, carry out and manage building work you have asked us to do
  • to send invoices, take payment and keep business and tax records
  • to deal with any questions, complaints or warranty issues
  • to protect our website from spam and misuse

We will not send you marketing emails unless you have agreed to receive them, and you can opt out at any time.

Our lawful basis for using your information

Under UK data protection law (the UK GDPR and the Data Protection Act 2018), we rely on:

  • Taking steps at your request before entering into a contract, and performance of a contract, when we respond to enquiries, quote and carry out work;
  • Legal obligation, where we must keep records for tax, accounting, building regulations or health and safety purposes;
  • Legitimate interests, such as keeping our website secure and managing our business properly;
  • Consent, where you have ticked the consent box on our quote form or agreed to marketing. You can withdraw consent at any time.

Who we share your information with

We do not sell your personal information. We only share it where necessary with:

  • subcontractors, architects, structural engineers, building control and party wall surveyors involved in your project
  • our website hosting and email providers, who store data on our behalf
  • our accountants, insurers and professional advisers
  • HMRC, local authorities or other bodies where the law requires it

Anyone who processes data on our behalf is required to keep it secure and use it only for the purpose we have given them.

How long we keep your information

  • Enquiries that do not go ahead: up to 24 months from your last contact with us, then deleted.
  • Customer and project records: 6 years after the work is completed, to meet tax and legal requirements and to support any guarantee or warranty claims. Some records relating to structural work may be kept for longer where needed to deal with potential claims.

Cookies

Our website uses a small number of cookies that are necessary for it to work, for example to keep the site secure and to remember choices you make. If we add analytics or other non-essential cookies in future, we will ask for your consent first and update this policy.

  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information, where we no longer have a reason to keep it
  • object to, or ask us to restrict, how we use your information
  • ask us to transfer your information to another organisation
  • withdraw your consent at any time, where we rely on consent

To use any of these rights, contact us at info@brookhalldevelopers.co.uk. We will respond within one month.

Keeping your information secure

We use appropriate technical and organisational measures to protect your information, including secure (HTTPS) connections on our website, access controls on our systems and limiting access to people who need it for their work.
